In brief

Managing wholesale orders on Shopify now relies on three levers. First, native B2B, which since April 2026 is no longer exclusive to Shopify Plus: company profiles, payment terms, quantity-based pricing, and catalogs are available for Basic, Grow, and Advanced plans. Second, automation with Shopify Flow, also available on all plans, eliminates repetitive tasks. Finally, for the most advanced wholesale needs, an external app like Sparklayer takes over from native functionalities. The right choice depends on the complexity of your business, and that's precisely the arbitration we make project by project at Stellar.

Efficient Shopify B2B order management: tablet displaying a dashboard for wholesalers.

In B2B, an order is never an isolated act: large volumes, negotiated prices, regular restocks, payment terms. Handling all of this manually quickly becomes unmanageable. The good news is that Shopify has significantly brought B2B closer to the general public in 2026. Here's how to efficiently manage your wholesale orders, from native setup to automation, and choosing between native features and a specialized app.

At Stellar, we have led B2B projects on both sides of the border. Natively on Shopify Plus, for brands like MINI (BMW Group) and Angell Bikes, where the platform's power is sufficient. And via an external solution, Sparklayer, for a site like Matatie, when wholesale needs exceed what native offers. This dual experience allows us to decide quickly: the right answer is never dogma; it depends on your catalog, your professional clients, and your pricing rules.

Native B2B, now on all plans

This is the major change of 2026: since April 2, Shopify has opened part of its native B2B to Basic, Grow, and Advanced plans, whereas it was previously reserved for Plus. Concretely, you can apply price lists and quantity-based pricing to your professional clients without multiplying your subscription by five or six. Here's what's accessible and what remains exclusive to Plus.

B2B Function Basic, Grow, Advanced Reserved for Plus
Company profiles (multi-contact, multi-address) Yes -
Payment terms (net 7 to net 90) Yes -
Quantity-based pricing (minimum, maximum, multiples) Yes -
B2B Catalogs Up to 3 (via Markets) Unlimited Catalogs
Assigning a catalog to a specific company - Yes
Deposits and partial payments - Yes

In other words, most brands selling wholesale can start without upgrading to Plus. The complete details of this opening are in our dedicated article, Shopify B2B on Basic, Grow, and Advanced. For everything related to catalog depth and deposits, the switch to Shopify Plus remains justified.

Native or external app like Sparklayer?

Even enhanced, native B2B does not cover all cases. When wholesale becomes the core of the business, a specialized app like Sparklayer adds a layer of features that native does not yet offer. The question is not which is better, but which matches your needs.

Criterion Native Shopify B2B External App (Sparklayer)
Setup Integrated, no dependency Fast, no need for Plus
Quick order and purchase order Basic Advanced (entry grid, express reorder)
Complex catalogs and pricing Limited outside Plus Very granular per client
Cost Included in the plan Additional app subscription
Ideal for Simple to medium wholesale Pure wholesalers, complex catalogs and rules

Our arbitration rule: start with native if your pricing rules remain clear; switch to an app like Sparklayer when your professional clients expect a true wholesale ordering experience (entry by reference, one-click reorder, custom catalogs). This is what we did for Matatie, while MINI and Angell Bikes run natively on Plus.

Automate with Shopify Flow: 3 recipes

Shopify Flow, now available on all plans, automates repetitive tasks without a single line of code. Each automation follows the same logic: a trigger, a condition, an action. Here are three recipes we often install on B2B stores.

  1. Spot large orders. Trigger: an order is created. Condition: the amount exceeds a defined threshold. Action: tag the order "key account" and notify the sales team for dedicated follow-up.
  2. Prioritize recurring clients. Trigger: an order is created. Condition: the client has the B2B tag and has already placed several orders. Action: add a "priority" tag and create a preparation task at the top of the queue.
  3. Remind about due payments. Trigger: an order with payment terms approaches its due date. Condition: the invoice remains unpaid a few days before the due date. Action: send an automatic reminder to the client and notify accounting.

These three automations save considerable time in daily processing, without changing the client experience.

Track orders in real time

Good tracking prevents client follow-ups and preparation errors. Shopify centralizes the status of each order, from receipt to payment to shipping, in the administration. For a B2B activity, three reflexes streamline processing:

  • Segment B2B orders from individual orders using tags, for a clear dashboard.
  • Activate automatic status notifications, so professional clients always know the status of their order.
  • Link tracking to inventory management to avoid promising unavailable restocks, a point we detail in our guide on wholesale inventory management on Shopify.

Returns and restocks

In B2B, returns and restocks are two sides of the same requirement: fluidity. A professional client who reorders easily is a loyal client, and a well-managed return preserves the relationship.

For restocks, the goal is to reduce friction: accessible order history, reorder function, and for wholesalers, a quick entry grid by reference (basic natively, advanced with an app like Sparklayer). For returns, formalize a clear process (reason, validation, credit or refund) and automate recurring steps with Flow. The challenge is to process a B2B return, often involving multiple units, as cleanly as an order.

Processing KPIs to monitor

What cannot be measured cannot be improved. Four indicators are enough to monitor the performance of your wholesale order processing.

Indicator What it reveals
Average processing time The time between order and shipment, to be reduced as a priority
Preparation error rate The reliability of your logistics, the #1 source of avoidable returns
Reorder rate The actual loyalty of your professional clients
Average B2B cart value The effect of your quantity-based pricing and catalogs

Monitored over time, these KPIs transform feelings into concrete decisions. If you want to structure this entire system, from B2B setup to automation, this is precisely what our e-commerce support covers, and the broader framework is laid out in our complete guide to B2B on Shopify.

Each automation follows the trigger, condition, action logic: for example, tagging and flagging a large order, prioritizing a repeat customer, or following up on a payment term that is approaching.
